record keeping

by Jeremy
(Virginia)

What is the most effective way to keep all of your clients organized as far as paperwork goes. Do I need a notebook for each one? Or should I have everything separate? How long do i have to keep records? Do actual routines go in the same folder as waivers and par-q's?

Hi Jeremy! I keep all data from each clent in his or her own file inclunding workout info, dates, location, notes, and payment. I can fit info from 8 sessions on 1 sheet of paper! I can send you a copy if you like. Jtraw1@gmail.com

client records

Hi Jeremy -
Each of my clients have their own folders - I use the kind with the 2 pronged metal fasteners. On the left side of the folder I keep the fitness assessments, health & exercise history, waivers, any doctor recommendations, their goal sheets, pictures and then paper for notes on each session. On the right side, I keep the workout routines. When the folder gets too thick, I will take out some of the routines and keep them in their hanging file in my drawer. I've had my business for 1.5 years now and haven't thrown any client folders away. Hope this helps you.

Is having everything on paper the best method now that it's 2010? If there was a website or iPhone/Droid/RIM app that kept all of the same info for each client would it be better to use that?

I just reviewed the software that is offered from this site. Has anyone every tried it or is currently using it? Since there is a 30 day risk free trial, I would try it out.
